Overnight Camping Agreement & Legal Disclosure 
Cheyenne Frontier Days | www.eventrvcamping.com 

This Overnight Camping Agreement (“Agreement”) is entered into between Event RV Camping LLC (“Company,” “we,” or “us”) and the undersigned individual (“Occupant,” “you,” or “your”) for the temporary rental and use of a designated camping space during Cheyenne Frontier Days. 

By reserving a site and entering the premises, you agree to the terms outlined below.

1. Rental Terms 

  • Type of Use: Overnight camping for RVs, camper trailers, or tents within the boundaries of your purchased space. 

  • Term: Rental is valid only for the number of nights reserved and paid for in advance via www.eventrvcamping.com. 

  • Occupancy: Minimum age for occupancy is 21 and all minors must be always accompanied by an adultEach site is limited to one RV or camper and a maximum of six (6) individuals. One tent is permitted within the site footprint. 

  • No Subleasing: Sites may not be subleased, transferred, or shared with others outside your registered group.

2. Unit Assignment and Site Availability 

  • All camping spaces are leased on a first-come, first-served basis. No specific site number or location will be assigned or guaranteed at the time of reservation. 

  • Blocking off, saving, or reserving spaces for others is strictly prohibited. 

  • Placement will be directed on-site by Event RV Camping staff based on availability, RV size, and traffic flow needs.

3. Included Amenities 

  • Use of on-site restroom facilities. 

  • Trash disposal containers. 

  • Water refill and sewer disposal services are available at posted times for an additional fee. These services are provided by a third-party vendor and are subject to availability.

4. Acknowledgment of Rules & Regulations 

By signing this Agreement, you confirm that you have reviewed and agree to the Rules & Regulations of Event RV Camping LLC, which are incorporated herein by reference. Key provisions include, but are not limited to: 

  • No open fires, fire pits, bonfires, or charcoal grills. 

  • Propane or PNG grills permitted (minimum 5 ft from structures). 

  • No glass bottles or fireworks permitted on-site.  

  • No horses or livestock allowed. 

  • Dogs must be leashed and attended at all times. Aggressive dogs are prohibited. 

  • No alcohol or liquor onsite 

  • Quiet hours: 10:00 PM to 7:00 AM. 

  • Speed limit: 5 MPH on premises. 

  • Check-In: 12:00 PM – 5:00 PM. 

  • Check-Out: 9:00 AM – 11:00 AM. 

  • No electrical, water, or sewer hookups onsite. 

  • Unpredictable weather or ground conditions may delay access to or from your site. You accept full responsibility for any damage resulting from entering or exiting the property under such conditions.

5. Insurance and Vehicle Requirements 

By signing this Agreement, you affirm that: 

  • All RVs and tow vehicles brought onto the property are currently registered and legally operable, and 

  • You maintain active liability insurance coverage on each such vehicle as required by law. 

You agree to provide proof of insurance and registration if requested by Event RV Camping LLC or local authorities. You accept full financial responsibility for any damage or liability resulting from the use or movement of your RV or vehicle on the premises.

6. Group Responsibility 

Minimum age for occupancy is 21 and all minors must be accompanied by an adult at all times.  As the primary occupant and signing party, you are responsible for educating all members of your group—including guests, family, invitees, and visitors—about the terms of this Agreement and the Rules & Regulations. 
By being present on the premises, all individuals in your group are automatically bound by this Agreement and its terms, whether or not they have personally signed it.

7. Assumption of Risk 

You understand that camping and RV use involves inherent risks, including injury, damage to vehicles, exposure to weather, or loss of personal property. You assume all risks, known and unknown, associated with participation in overnight camping on the premises.

8. Hold Harmless and Indemnification 

You agree to release, indemnify, defend, and hold harmless Event RV Camping LLC, its owners, officers, employees, agents, and affiliates from any and all claims, losses, liabilities, costs, or damages, including attorney’s fees, arising from: 

  • Personal injury, illness, or death; 

  • Theft or damage to personal property or vehicles; 

  • Acts of nature, fire, or other incidents; 

  • Use of any campsite, amenities, or related facilities; 

  • Any violation of law or breach of this Agreement or the Rules & Regulations by you or anyone in your party. 

This indemnification shall apply even in the event of negligence by Event RV Camping LLC.

9. Cancellation Policy 

Cancellations must be made at least seventy-two (72) hours prior to the scheduled check-in time to be eligible for a refund. 
Cancellations made within 72 hours of check-in are non-refundable.

10. Termination and Removal 

Event RV Camping LLC reserves the right to terminate this Agreement and require immediate removal of any occupant or their party from the property without refund for: 

  • Violations of this Agreement or posted Rules & Regulations; 

  • Aggressive, disruptive, or unlawful behavior; 

  • Causing property damage or creating safety hazards. 

All removal actions and associated costs—including towing, third-party services, or law enforcement involvement—will be at the occupant’s sole expense.

11. Governing Law and Jurisdiction 

This Agreement shall be governed by the laws of the State of Wyoming. Any disputes shall be resolved in the appropriate courts of Laramie County, WY.

12. Acknowledgment and Signature 

By signing below, you acknowledge that you have read, understood, and agree to abide by this Agreement and the full Rules & Regulations of Event RV Camping LLC. 

You further agree that your digital signature submitted via www.eventrvcamping.com shall be binding and enforceable as a handwritten signature.

Rules & Regulations 

EVENT RV CAMPING FOR CHEYENNE FRONTIER DAYS (CFD) 

Welcome to Event RV Camping! We’re excited to host you during Cheyenne Frontier Days. To ensure a safe, enjoyable, and respectful experience for all guests, the following Rules and Regulations apply to all attendees, guests, and visitors on the premises. 

By entering and using our facilities, you agree to comply with all rules listed below, as well as applicable local, county, and state laws and ordinances. No weapons, firearms, or alcohol are allowed on premise

1. General Use and Conduct 

  • Occupancy: Each reserved space allows for one RV or camper unit and a maximum of six (6) individuals. 

  • Behavior: Aggressive, threatening, or disruptive behavior of any kind will not be tolerated. We reserve the right to remove any person(s) without refund for behavior that violates these policies. 

  • Noise: Quiet hours are enforced from 10:00 PM to 7:00 AM. Please be respectful of your neighbors at all times.

2. Pets and Animals 

  • No Horses or Livestock are allowed on the property. 

  • Dogs must be leashed and under control at all times. Leashes must not exceed 6 feet in length. 

  • Aggressive dogs or dog breeds with a history of aggression are not permitted. 

  • Occupants who choose to bring animals are fully accountable for their animals actions.   

  • Pets must not be left unattended at any time. 

  • Owners must immediately clean up after their pets. 

  • All pet policies are subject to Cheyenne City and Laramie County animal control ordinances.

3. Fires and Grilling 

  • No open fires, fire pits, bonfires, or charcoal grills are allowed at any time.  Any damage or injury caused by use of these items will be the responsibility of the occupant and their guests.  

  • Propane and natural gas (PNG) grills are permitted but must be placed at least five (5) feet away from all vehicles, tents, or structures. 

  • All cooking devices must be attended at all times when in use.  Please have no less than 5 gallons of water available for emergency purposes during use of grill 

  • No fireworks, sparklers, or explosives of any kind are allowed on the property.

4. Glass and Waste 

  • Glass bottles or containers of any kind are strictly prohibited. 

  • All trash must be disposed of in provided waste bins. Please help us keep the property clean. 

  • Dumping of gray water, black water, or any hazardous materials is strictly prohibited and may result in immediate removal and fines.  (Onsite sewer removal company will be available at communicate/posted dates and times for gray and black water removal at an additional fee)

5. Vehicles and Site Use 

  • One RV or camper unit per site. One additional tent may be used within your designated site footprint. 

  • Overflow vehicles must be parked in designated areas only. No blocking of roads or other sites. 

  • Speed limit on the property is 5 MPH at all times. Watch for pedestrians and animals. 

  • Sites must be kept clean and orderly at all times. Any damage to property or surrounding areas will be billed to the responsible party. 

  • Unpredictable weather conditions may create challenges with access or exit to your RV camp sitePlease be aware that delays of access or exit may be possibleAny damage caused during these times will be the responsibility of the occupant.

6. Check-In / Check-Out 

  • Check-In Time: 12:00pm – 5:00pm on arrival date. 

  • Check-Out Time: 9:00am - 11:00am on departure date. 

  • For early or late check-in / check-out please call (303) 877-2231 or (307) 788-7867.  Note: late check-in or check-out may not be available if other occupants are scheduled for the site.  

  • Late check-out may result in additional fees unless prior arrangements are made.

7. Additional Terms 

  • All guests must comply with Cheyenne Frontier Days regulations and Laramie County ordinances. 

  • Event RV Camping and its property owners are not liable for loss, theft, damage, injury, or accidents occurring on the premises.   

  • Guests are responsible for the actions of all members of their party, including children and visitors. 

  • Failure to follow these rules may result in removal from the property without refund. 

  • Please be aware that no electrical, water, or sewer hookups are availableMobile water refill and sewer disposal will be available on posted dates/times for additional fee.

By entering and staying on the premises, you acknowledge you have read and agree to the occupancy agreement and will abide by the Rules and Regulations. 

Hold Harmless and Indemnification 

By entering and using the Event RV Camping property, the occupant, including all guests, family members, invitees, and visitors, agrees to release, indemnify, defend, and hold harmless the property owners, Event RV Camping, its agents, employees, affiliates, and representatives from any and all liability, claims, demands, causes of action, damages, losses, or expenses (including attorney’s fees) arising out of or related to: 

  • Personal injury, illness, or death; 

  • Loss, theft, or damage to personal property or vehicles; 

  • Acts of nature, fire, theft, accidents, or other incidents; 

  • Use of any campsite, amenities, utilities, or surrounding areas; 

  • Violations of any law or regulation by the occupant or their guests. 

This agreement applies regardless of whether the alleged liability arises from the negligence of the property owners or any other party covered by this agreement. The occupant assumes full responsibility for their actions and the actions of those in their party during their stay on the premises.
